Assure Quality Control approval of all Essential Oils by maintaining all pre-ship and post shipment sample records within SAP.
Communicate approval results to Sr. Essential Oils Specialists and Suppliers.
This will require continuous contact with the QC lab to ensure samples are tested against all standards and processed on a timely basis.
Contract Balance
Manage and update Essential Oils contract balances within SAP
Ensure accuracy of purchases against contracts, addition of newly written contracts, and plant usage vs. Plan for Essential Oils
Alert VP Essential Oils on those materials with low/zero contract balances. Compare our records with monthly supplier statements and reconcile any differences with the suppliers.
Purchase Order Coordination
Coordinate the purchase order (PO) process through SAP, including but not limited to, obtaining necessary approvals from the VP Essential Oils, CMCI authorized agent in Ireland, and placing POs with suppliers.
Review and analyze delivered costs from suppliers, assure accuracy and consistency with prior shipments/costs. Look for savings opportunities on same.
Confirm contract balance, pricing and pack-out details, and distributing POs to suppliers and designated Essential Oils contacts at the Concentrate plants.
Track Orders/Ensure Delivery
Track outstanding orders and follow-up with suppliers to ensure pre-ship samples are submitted and approved.
Ensure that material arrives when promised/requested. Maintain delivery estimates for cash flow estimations on a monthly basis.
Work with suppliers to expedite shipments when necessary.
Maintenance of Documentation Files
Review and maintain official, legally required documentation files for pertinent information on Essential Oils (e.g. Kosher certifications, Safety Data Sheets, Allergens, Genetically Modified Organism certificates, etc.).
Liaise with Sr. Management of the Science & Regulatory Affairs function on new regulatory issues.
Through original thought determine how to achieve regulatory compliance without compromising confidentiality.
Directly contact and manage expectations with our suppliers to obtain any documents that are missing or out-dated.
Develop Reports and Analysis
Develop methods, reports and analysis on department Key Performance Indicators (KPIs) to track department performance and critical statistics.
Compile and track by-product sales by plant so as to allow analysis of quantities sold, selling price and revenue received throughout the year.
Create and maintain a database for tracking manufactured key batches, quantities and costs by plant and worldwide.
Monitor contracts and track purchases for Essential Oils by supplier and plant.
Perform financial analysis as requested such as on Plan and Forecast information
Qualifications:
BA/BS required in Business/Accounting or Technical field (Chemistry, Engineering, Life Science)
Minimum five years work experience
Self-motivated individual who can work independently, take ownership for work and multi-task comfortably
Strong numbers orientation and significant attention to detail.
Knowledge of working in an SAP environment desirable.
In depth knowledge of Excel spreadsheet capabilities and Word
Excellent communication skills and business maturity to allow for effective, professional interaction with outside suppliers (at various levels up to President/Owner) and within Pepsi (at various levels up to VP), across multiple functions, and various global locations
