Assure Quality Control approval of all Essential Oils by maintaining all pre-ship and post shipment sample records within SAP.
Communicate approval results to Sr. Essential Oils Specialists and Suppliers.
This will require continuous contact with the QC lab to ensure samples are tested against all standards and processed on a timely basis.
Contract Balance
ΓΆΒ ΒΆ Manage and update Essential Oils contract balances within SAP
ΓΆΒ ΒΆ Ensure accuracy of purchases against contracts, addition of newly written contracts, and plant usage vs. Plan for Essential Oils
ΓΆΒ ΒΆ Alert VP Essential Oils on those materials with low/zero contract balances. Compare our records with monthly supplier statements and reconcile any differences with the suppliers.
Purchase Order Coordination
ΓΆΒ ΒΆ Coordinate the purchase order (PO) process through SAP, including but not limited to, obtaining necessary approvals from the VP Essential Oils, CMCI authorized agent in Ireland, and placing POs with suppliers.
ΓΆΒ ΒΆ Review and analyze delivered costs from suppliers, assure accuracy and consistency with prior shipments/costs. Look for savings opportunities on same.
ΓΆΒ ΒΆ Confirm contract balance, pricing and pack-out details, and distributing POs to suppliers and designated Essential Oils contacts at the Concentrate plants.
ΓΆΒ ΒΆ Track Orders/Ensure Delivery
ΓΆΒ ΒΆ Track outstanding orders and follow-up with suppliers to ensure pre-ship samples are submitted and approved.
ΓΆΒ ΒΆ Ensure that material arrives when promised/requested. Maintain delivery estimates for cash flow estimations on a monthly basis.
ΓΆΒ ΒΆ Work with suppliers to expedite shipments when necessary.
Maintenance of Documentation Files
ΓΆΒ ΒΆ Review and maintain official, legally required documentation files for pertinent information on Essential Oils (e.g. Kosher certifications, Safety Data Sheets, Allergens, Genetically Modified Organism certificates, etc.).
ΓΆΒ ΒΆ Liaise with Sr. Management of the Science & Regulatory Affairs function on new regulatory issues.
ΓΆΒ ΒΆ Through original thought determine how to achieve regulatory compliance without compromising confidentiality.
ΓΆΒ ΒΆ Directly contact and manage expectations with our suppliers to obtain any documents that are missing or out-dated.
Develop Reports and Analysis
ΓΆΒ ΒΆ Develop methods, reports and analysis on department Key Performance Indicators (KPIs) to track department performance and critical statistics.
ΓΆΒ ΒΆ Compile and track by-product sales by plant so as to allow analysis of quantities sold, selling price and revenue received throughout the year.
ΓΆΒ ΒΆ Create and maintain a database for tracking manufactured key batches, quantities and costs by plant and worldwide.
ΓΆΒ ΒΆ Monitor contracts and track purchases for Essential Oils by supplier and plant.
ΓΆΒ ΒΆ Perform financial analysis as requested such as on Plan and Forecast information
Qualifications:
ΓΆΒ ΒΆ BA/BS required in Business/Accounting or Technical field (Chemistry, Engineering, Life Science)
ΓΆΒ ΒΆ Minimum five years work experience
ΓΆΒ ΒΆ Self-motivated individual who can work independently, take ownership for work and multi-task comfortably
ΓΆΒ ΒΆ Strong numbers orientation and significant attention to detail.
ΓΆΒ ΒΆ Knowledge of working in an SAP environment desirable.
ΓΆΒ ΒΆ In depth knowledge of Excel spreadsheet capabilities and Word
ΓΆΒ ΒΆ Excellent communication skills and business maturity to allow for effective, professional interaction with outside suppliers (at various levels up to President/Owner) and within Pepsi (at various levels up to VP), across multiple functions, and various global locations

This position requires a mature, self starter, who accepts ownership for her/his work. This role, reporting to the VP Essential Oils, is responsible for providing detailed and accurate support to the Essential Oils Function within PepsiCo Worldwide Flavours based in Valhalla, New York. Anyone interested in this role must possess an exceptional degree of ownership and passion for the role, and an acute attention to detail. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
